Events – Remember: Always Be Prepared!
An outdoor reception can
be one of the most pleasant events anyone will attend during the
summer months…as long as it has been well planned!

tips:

Choose between a public
or a private site : Public sites are the most popular of the
two, because they are usually well-known by your guests, readily
accessible and well-equipped with everything an event requires.
Holding an event at a private site is more intimate but also
more expensive, due to the fact that few private spaces are
equipped with any of the equipment or services needed to hold
an event. As a result, one must plan to budget more money for
all related services.

Pay close attention to
the layout of your site, and its surroundings : Accessibility,
the power supply, waste removal, the location and number of
restroom facilities… Ensure that the requirements of your event
are taken into consideration before making a final decision.

Planning for security
: If your event is taking place over a number of days, you will
have to take steps to ensure that the location is secured. You
must protect your equipment and your site against theft and
vandalism, especially if you must leave equipment in place on
site overnight.
- Always have a Plan B : You need contingency plans for every
aspect of your event (food preparation, master of ceremonies,
welcome area) in case of bad weather. A good “Plan B” can be the
difference between a total disaster and perfect evening.
